Subscription Terms
Your QHealth subscription
QHealth is provided by Medica Technologies. These terms govern a clinic’s paid QHealth subscription. The person registering or managing billing confirms that they are authorized to act for the clinic. Contact info@qhealth.app for subscription support.
Plans and paid practitioners
Core costs US$99 per practitioner per month. Professional costs US$199 per practitioner per month. Physicians, dentists and allied health professionals each require a paid practitioner slot. One plan applies to the clinic. Administrative and support staff accounts are unlimited. The checkout shows the purchased quantity and total before payment. Included modules are listed during registration; optional services, integrations and usage-based extras require a separate agreement and are not charged automatically.
Payment and automatic renewal
Payment is required before clinic usage begins. Self-registration requires payment. The subscription renews at the selected monthly or yearly interval until cancelled. Yearly membership is paid in advance and includes a 10% discount against twelve monthly payments. Platform may separately grant a free trial with no automatic expiry; trial access continues until QHealth converts or deactivates it. Trials do not authorize payment. If a renewal payment fails, QHealth may retry the same authorized renewal amount up to three additional times over seven days, without a QHealth retry fee. A retry does not change the original billing anniversary. A clinic administrator may replace the saved card through a zero-value MyFatoorah card verification. If automatic attempts remain, the administrator can explicitly authorize the next remaining attempt immediately after verification; this consumes an existing attempt and does not increase the four-attempt limit. After automatic attempts are exhausted, any recovery payment requires a separate confirmation of the exact amount and is not retried automatically. New subscriptions and additional seats are charged in USD. Any local-currency conversion shown during registration is an approximate guide only; it does not set the amount charged. Exchange rates and your bank’s conversion rate or fees can vary. The exact USD total is shown before payment and in your recurring-payment authorization. Patient invoice currency is a separate setting. QHealth currently adds no tax to the displayed subscription total. Your bank may apply its own currency conversion or fees. MyFatoorah processes payment; QHealth does not collect or store full card details. Your confirmed renewal date appears in Subscription & Billing and billing emails.
Practitioner and plan changes
Purchased slots determine the clinic’s charge per billing period, including any unassigned slots. Removing or deactivating a user does not cancel a paid slot or the subscription. Use Add practitioner seats in Subscription & Billing to increase your quantity. New seats are available after payment, with a prorated charge for the remaining paid period and the new full total from the next renewal. The checkout shows both amounts and requires explicit approval. On supported subscriptions, administrators may schedule a seat reduction in Subscription & Billing; they must deactivate enough practitioner accounts first. The reduction takes effect with the next successful renewal, not during the current paid period, and unused time is not refunded. A Core clinic may upgrade to Professional in Subscription & Billing. The saved card is charged the prorated Core-to-Professional difference for the remaining period; Professional modules activate only after payment is verified, and the Professional rate applies from the unchanged renewal date. Professional-to-Core downgrades are not supported. Enterprise arrangements require support. Adding support staff does not increase the subscription price.
Notifications and failed payments
We send subscription confirmations, renewal reminders, receipts, retry notices, payment-failure notices and cancellation confirmations to the billing email. These service messages are independent of marketing preferences and daily clinic summaries. After a failed vendor-managed renewal, clinic operations remain available during a seven-day payment grace period while QHealth makes no more than four total attempts on days 0, 1, 3 and 6. Only a definitively failed or cancelled provider transaction starts another attempt; a pending, unknown or review transaction is reconciled instead of charged again. Cancellation stops attempts that have not already been submitted. If payment is still not confirmed when the grace period ends, clinic usage is suspended while billing and support remain accessible.
Cancellation and refunds
A clinic administrator can cancel from Admin Control → Subscription & Billing. Cancellation stops future renewals. Clinic access continues until the paid billing period ends. We stop future billing in QHealth or with the payment provider, depending on the payment method, and email confirmation. If confirmation is delayed, the billing page shows cancellation pending. Cancellation does not automatically refund prior charges. The Cancellation Policy and Refund Policy below form part of these terms.
Clinic data and responsibilities
The clinic is responsible for its users, permissions, lawful use and clinical decisions. Cancellation does not delete clinical records. Billing records remain available to authorized administrators. Contact support for an export or a data-retention/deletion request; records are handled under the applicable privacy and data-processing arrangements and retention requirements.
Changes and support
Clinic-specific pricing changes take effect at the first renewal on or after the effective date agreed with the clinic. The current paid period is unchanged. Mandatory customer rights continue to apply. For subscription questions, billing corrections or service issues, contact info@qhealth.app.
